jesi AI is used by four kinds of people: School Administrators, Teachers, Parents/Guardians, and Students. This Privacy Policy applies to everyone, but is organised so each group can find exactly what applies to them.
Depending on the Services we provide and the circumstances in which personal data is processed, jesi AI may act as a data controller or data processor under the Data Protection Act, 2012 (Act 843). Where we process student or staff data on behalf of a school, the school will generally act as the data controller and jesi AI will process that data on the school's instructions, subject to the applicable School Data Processing Agreement.
1. Who We Are And What This Policy
jesi AI is a Ghanaian-built, AI-powered education platform supporting school administrators, teachers, parents and learners.
This Privacy Policy explains how jesi AI collects, uses, discloses, and protects personal data in connection with the Administrator, Teacher, Parent and Learner Views of the platform, and sets out the rights available to each category of user.
2. Our Commitments to Everyone
Regardless of which group you're in, jesi AI does not:
- Sell your personal data, or a student's personal data, to anyone
- Use student data for advertising, targeted marketing, or behavioural profiling
- Allow the AI providers that power our features to keep or train their models on your data
- Collect more data than we need to provide the service
- Use design tricks to get you, or a student, to share more than necessary
3. Data Protection Principles We Follow
All processing on jesi AI follows the principles in Act 843: accountability, lawfulness, purpose limitation, data minimisation, accuracy, openness, security, and your right to participate in decisions about your own data (Sections 17-26).
Where a student is involved, we apply the stricter rule in Section 37 of Act 843, which treats a child's data as requiring either consent or a specific legal necessity before it can be processed at all.
4. For School Administrators
What We Collect
- Name, role, and school-issued contact details
- School-level dashboards: activity, teacher performance summaries, and learning outcomes
Why
To give you real-time oversight of your school's use of jesi AI, as agreed in your School Partnership Agreement.
Your Responsibilities as a Controller
Under the School Data Processing Agreement, your school is generally the data controller for your students' and staff data, and jesi AI processes it on your instructions. That means your school is responsible for making sure valid consent (or another lawful basis) is in place before any learner or teacher is added to the platform, jesi AI's role is to support you in that.
Bulk Onboarding
When uploading students or teachers in bulk (e.g. via CSV), please ensure your own enrolment or consent records for those individuals are in place before upload. jesi AI does not independently verify consent for bulk-added accounts.
Retention
Administrator data is kept for the duration of the School Partnership plus a limited period afterward, per our Data Retention & Disposal Policy.
5. For Teachers
What We Collect
- Name, contact details, subject/class assignment
- Lesson notes, quizzes, and other content you generate on the platform
- Your prompts to AI features, and usage data related to lesson preparation
- If you run paid Private Classes: your Mobile Money payout details and transaction history
Why
To provide lesson planning tools, AI-assisted content generation, and, if you choose to use it, the Private Class marketplace feature.
What Your School Can See
Authorised school administrators can see limited, dashboard-level information about your activity (not your private prompts or draft content) as part of their oversight role.
AI and Your Content
Your prompts and inputs are sent to our AI provider to generate outputs. They are not used to train the AI provider's models, and are retained only as long as necessary to provide the feature and maintain service security.
Retention
Kept for the duration of your engagement with the school plus a limited period afterward, per our Data Retention & Disposal Policy.
6. For Parents & Guardians
What We Collect About You
- Your contact details, where you enrol your child directly, respond to a guardian-verification request, or pay for a Private Class on your child's behalf
Your Role in Your Child's Account
jesi AI cannot lawfully create or activate an account for a child under 18 without your consent, or without your school's documented authority to consent on your behalf.
If your child signs up independently and is under 18, we (or your child's school) will contact you to verify your consent before their account is activated.
What You Can Do
- Ask us what data we hold about your child
- Ask us to correct inaccurate data
- Withdraw your consent and request deletion of your child's account at any time
- Contact us if you believe your child created an account without your knowledge; we will suspend it pending verification
Progress Reports
Your child may choose to send you a summary of their learning progress by entering your email address themselves. We do not independently verify that the email address they enter belongs to you.
How to Reach Us
See Section 12 for contact details for any of the above.
7. For Students
7.1 What We Collect
- Your name, phone number (used to verify it's really you when you sign up)
- Class/grade
- Your academic performance and progress in lessons and quizzes
- How you use the app (what you click, how long you spend)
- Messages you send to the AI chatbot or the Explain feature
7.2 Why We Collect It
To give you lessons and practice that match your level, track your progress, and let your teacher help you where you're stuck. We never use your data to show you ads.
7.3 Who Can See Your Information
- Your teacher(s) and authorised staff at your school
- jesi AI staff who need it to keep the app running and safe
We do not show your personal information to other students or disclose it to external parties except where necessary to provide, secure, evaluate or improve the Services, to comply with applicable law, or as otherwise described in this Privacy Policy.
7.4 The AI Chatbot
- The chatbot is there to help you learn, it is not a counsellor, a friend, or a secret-keeper
- If you tell the chatbot something that sounds like you're in trouble or unsafe, we may share that with your school so a real adult can check in with you, this is to help keep you safe, not to get you in trouble
- Please don't share personal information with the chatbot beyond what your schoolwork needs
7.5 Signing Up on Your Own
If you are 18 or older, you can create your own account and agree to this Policy yourself. If you are under 18, Ghanaian law says you cannot agree to this on your own, a parent or guardian needs to confirm it for you before your account can be used.
7.6 Your Rights
- You (or your parent/guardian) can ask what information we have about you
- You can ask us to fix something that's wrong
- You or your parent/guardian can ask us to delete your account
7.7 In Simple Terms
We collect what we need to help you learn. We don't sell your information or use it to advertise to you. Your teacher and school can see your progress so they can help you. If you're under 18, a parent or guardian has to agree before you can use jesi AI on your own.
If you ever feel unsure about your information, or something on the app makes you uncomfortable, tell a parent, guardian, or teacher, or use the contact details in Section 12.
8. The AI Chatbot
This applies to both Teachers (lesson generation) and Students (the learning chatbot and "Explain" feature).
- Conversations are processed by our AI provider to generate the requested response. jesi may retain limited chatbot logs for safety review, service security and service improvement, in accordance with this Privacy Policy. Our AI providers are not permitted to use your data to train or fine-tune their general-purpose AI models.
- Chatbot logs are kept for safety review and service improvement only
- Where a student's message raises a safeguarding concern, our AI Chatbot & Learner Safety Policy governs how it is reviewed and, where appropriate, shared with the school
- Access to flagged conversations is limited to our Designated Safeguarding Lead and Data Protection Officer
9. Private Classes and Payments
Teachers may offer paid Private Classes. Where a student or parent pays for one:
- Payment is handled by our licensed payment processor; jesi AI does not store full card or mobile money credentials
- jesi AI takes a platform fee and pays the rest to the teacher via Mobile Money
- For school subscription payments, the same principle applies: only the school's payer information is processed, never a student's
10. Who We Share Data With
- Your school (for data relevant to their staff/students)
- Independent researchers, research partners, funders, or independent evaluators, where necessary for legitimate research, evaluation, or improvement of our services. Where reasonably possible, we will use anonymised or de-identified data, and we will only share the minimum data necessary for the research purpose. Researchers will be required to use the data only for the agreed purpose and to apply appropriate confidentiality and security measures.
- Our licensed payment processor, only to complete a transaction
- Our AI model/API provider, only to generate the feature you requested
- Our cloud hosting provider, under a data protection agreement
- Other technology and service providers, such as database, authentication, analytics, email, SMS/messaging and similar providers that help us operate and secure the Services, where necessary and subject to appropriate data protection and confidentiality obligations.
- The Data Protection Commission or other authorities, only where legally required
11. How Long We Keep Data
Retention periods differ by data type and are set out in full in our Data Retention & Disposal Policy.
As a general rule, we keep data only as long as you're actively part of a school partnership, plus a short additional period, after which it is deleted or anonymised.
12. Your Rights & How to Contact Us
Whichever group you're in, you (or a parent/guardian acting for a student) can ask us to:
- Confirm what data we hold about you
- Correct data that's wrong
- Delete your data, where we're not required to keep it
- Stop a specific use of your data that you object to
